Information we may collect

We may collect names and contact details for players, parents, carers, staff, volunteers and other people who contact the club. Where necessary for club delivery, we may also process player age and date of birth, attendance, programme and team records, emergency contacts, relevant health or accessibility information, safeguarding information, photographs or video permissions, and payment or account records.
How we collect information

Information may be provided directly through enquiries, registration and consent processes. The club may also use approved service providers, including Wix for the website and website contacts, Coacha for club administration and registration, and PlayHQ for eligible competition administration.
Why we use information

We use personal information to respond to enquiries; administer registrations, sessions, teams and competitions; communicate with parents and carers; manage attendance and payments; keep participants safe; meet safeguarding, insurance, legal and regulatory responsibilities; and improve club delivery. Depending on the activity, our lawful basis may be contract, legal obligation, legitimate interests, vital interests or consent.
Children's information

We recognise that children's information requires particular protection. We limit access to authorised people, use a high level of privacy by default and involve a parent or person with parental responsibility where appropriate. Safeguarding information may be shared without consent where this is necessary to protect a child or another person from harm.
Photographs, video and communications

We use photographs or video of children only under the club's approved consent and safeguarding arrangements. Optional marketing communications require a clear choice and can be withdrawn. The website newsletter is currently inactive.
Who we may share information with

Where necessary, information may be shared with authorised club staff and volunteers, Wix, Coacha, PlayHQ, Basketball England, relevant leagues, venues, insurers, professional advisers, funders or public authorities. We share only what is necessary and require service providers to protect the information they process for us.
How long we keep information

We keep personal information only for as long as it is needed for the purpose for which it was collected and to meet legal, safeguarding, insurance, financial and regulatory requirements. Information is then securely deleted or anonymised in line with the club's retention arrangements.
Your rights

Depending on the circumstances, you may have rights to access, correct or erase your personal information, restrict or object to its use, receive a copy in a portable format, or withdraw consent. Some rights are subject to legal exceptions, including safeguarding and record-keeping duties.
